Delete Your Account

You can delete your Bit & Grain account at any time, from the Android app, the iPhone app, the web, or by email. This page explains each way, when the deletion happens, and what is deleted and kept. Bit & Grain is operated by Bit & Grain Technologies LLC.
1. Delete your account in the app or on the web
Android app
- Open the Bit & Grain app and sign in.
- Tap the Settings tab.
- In the Account section, tap Delete my account.
- Read what will be deleted, check the box to confirm you understand, tap Delete my account, and confirm.
iPhone app
- Open the Bit & Grain app and sign in.
- Tap the Settings tab.
- In the Account section, tap Delete my account.
- Read what will be deleted, turn on the switch to confirm you understand, tap Delete my account, and confirm.
If your trial or subscription has ended and the app shows a locked screen, that screen also has a Delete my account link.
Web
- Sign in at bitandgrain.app.
- Open Settings, then Account & Privacy, then Delete my account.
- If you have paid time left, choose when to delete: at the end of your paid period, or now (see section 3).
- Type your account email address, check the box to confirm you understand, and select Delete my account. You are signed out right away.
Team members who do not own the business can delete their own login the same way. The business and its records stay with its owner, including any bank feeds and social accounts you connected for it. Calendars you connected for it also stay with the business.
Before you delete, you can download your data. Business owners and admins can use Export my dataon the web (under Settings, Account & Privacy, and on the Delete my account screen), which downloads every record of the business as CSV files in one zip; photos and documents are not included. The Delete my account screen in the iPhone and Android apps offers the same CSV files.
2. If you cannot sign in
Email privacy@bitandgrain.app with the subject "Delete my account" and tell us the business name. To make sure the request comes from you, we write to the email address on the account and ask you to confirm. Once you confirm from that address, a member of our team schedules the deletion for you, with the same dates and the same results as the in-app option. You can also try resetting your password or using a sign-in link from the sign-in screen first.
3. When your account is deleted
Deleting your account does not happen instantly, so a mistake can be undone. We email you the date.
- No paid time left: your account is deleted 30 days after your request.
- Paid time left: your account is deleted 30 days after the end of the period you already paid for. On a yearly plan, that can be up to 12 months and 30 days after your request.
- Delete now: on the web, and in the iPhone and Android apps from their next update, if you do not want to wait for your paid period to end, choose to delete now. Your subscription is canceled that day with no refund for the unused time, and your account is deleted 30 days from that day.
- Billing: otherwise your subscription is set to end at the close of the current paid period, so you are not charged again, and any subscription still active is canceled when the deletion completes.
- Before the date: if you sign in, you see an Account pending deletion screen with the scheduled date. Signing in does not cancel the deletion. To keep your account, choose Keep my account on that screen. Keeping your account does not restart your subscription; you can resume it from Billing in your settings.
- Locked accounts: if your trial or subscription has ended, your account is locked but your data is kept until the account is deleted.
- After the date passes: a daily job permanently deletes the account. This cannot be undone.
4. What is deleted
- Your login, profile, and sign-in history
- Every business you own and all of its records, including jobs, job notes, clients, equipment, estimates, invoices, expenses, receipts, appointments, time and clock records, mileage trips, messages, and Grain AI conversations
- Files you uploaded to those businesses, including receipts, photos, logos, documents, signatures, and imports
- Your notification device tokens
- Connections to other services for the businesses you own: we cancel our access to their Google calendars, Plaid bank connections, and social accounts connected through Zernio. Microsoft does not let one app's access be canceled on its own, so for a Microsoft calendar we delete our copy of the connection tokens; to remove Bit & Grain from your Microsoft account, use your Microsoft account settings (for a personal account, account.live.com/consent/Manage; for a work or school account, myapps.microsoft.com or your administrator).
- Any business text messaging number we provided for a business you own, which is released
- Your business name in our usage analytics, and your email address in our internal admin records
- Your access to businesses you belong to but do not own. Those businesses and their records stay with their owners, including bank feeds and social accounts you connected for them.
5. What is kept, and for how long
- Deletion record:we keep a record that each business was deleted (the business's name, its web address name, the owner's email address, its account settings at the time, and when and why) so we can prove the deletion happened and investigate mistakes. It is kept for 3 years and then deleted.
- Billing records:Stripe and PayPal keep their records of subscriptions and payments as tax law requires, generally for 7 years. Deleting your Bit & Grain account does not delete records held by those companies, and a connected Stripe or PayPal account stays open with them until you close it there.
- Backups: copies in our nightly backups expire on their own. Business backups expire after 90 days and replaced versions 30 days after that, so your data is gone from them no later than 120 days after the deletion completes. Full database copies expire after 30 days. Our database host, Supabase, may also keep its own short-term backups. We do not restore deleted accounts from backups except to recover from an error or outage.
- What you already sent: invoices, estimates, emails, and text messages you sent to your clients stay with the people who received them.
- Records the law requires: we may keep information when the law requires it.
6. Delete some data without deleting your account
You do not need to delete your account to remove individual records. Signed in, you can delete items such as clients, jobs, receipts, mileage trips, estimates, and Grain AI conversations from their own screens. On the web, deleting a record also deletes its stored files, such as a receipt's photo, a job's or invoice's files, an equipment photo, a website gallery photo, a social post's images, a subcontractor document, or an estimate's signature. In the iPhone and Android apps, deleting a job file or a subcontractor document deletes the file too; deleting a receipt or a whole job deletes its stored files in the apps from their next update. Until then, those files are removed when your account is deleted. You can also disconnect a connected calendar in Settings, turn off camera, microphone, location, and notification access in your device settings, reply STOP to any text message, and unsubscribe from our emails with the link in each email. Deleted records are removed from the Service right away, and copies in our backups expire within 120 days.
If you are a client of a contractor who uses Bit & Grain, the contractor controls the records about you. Ask the contractor to delete them, or email privacy@bitandgrain.app and we will forward your request to the contractor.
